What personal data do I collect?

I hold the details you directly supply me such as names, email addresses and phone numbers for clients and prospective clients. I also hold ‘Source Material’ supplied by translation clients which may contain personal information.

I may also keep a record of your use of my services.

Where appropriate I may obtain data from third parties by way of reference, background check, fraud protection, or by searching for publically available data.

What do I do with this data?

I maintain a database of contact details in order to facilitate sales, conclude contracts, and provide electronic delivery of translated Source Material to my clients. This includes, for example, keeping you up to date, informing you of progress & milestone markers, sending you invoices for work undertaken, and facilitating scheduling. Contact details may also be used to solicit further work, ask for references or testimonials, and for general business administration.

All Source Material is kept strictly confidential. While a record of all translations undertaken may be retained, this data will never be used (except in the rare circumstances in which Source Material data has also been supplied directly by the client to facilitate a translation project i.e. where a contact mentioned inside the Source Material is also a client or prospective client).

Data may also be used for legal or regulatory reasons, to assess credit and ensure appropriate terms are negotiated, and to provide you with the services you have contracted for.

How long will I keep your data?

Data on clients will be held for as long as you remain my client, and after if you remain in business. As well as using the data to provide you services while you are a client, I may use your data afterwards to sort out any contractual disputes, prevent fraud, prove you had previously been a client, and follow my legal obligations. I may also use this information in the aggregate to see how clients use my services and optimise service delivery.

The length of time I retain data may vary based on need, but I will only keep your data as long as I consider it necessary.

Who do I share your data with?

Your data will only be shared with explicit consent or to facilitate service delivery. For example I may use a third party contractor, send your documents for proofreading or further revision, share it with my legal representatives where necessary, or provide it to relevant authorities, law enforcement, or credit reference agency where legally required.

What are your rights?

You have the right to a copy of my Privacy Policy on request (this document).

You have the right to ask me to delete your data (however there may be circumstances in which I am legally entitled to retain it).

To get a free copy of any data I hold within 30 days of making a request by email to contact@claireselden.com

To object to the processing of your data except where I have a legal right to process it.

To make a complaint to the Information Commission if you think I have breached your rights (www.ico.org.uk).

I will always try my best to resolve any data privacy issue you may have. In the first instance please contact me via email with your problem. You have the right to refer any data privacy issue to the Information Commissioner’s Office at any time.
